The short version. We collect what we need to run SpliceFlow and to reach you when you ask us to. We don't sell your information, we don't use advertising trackers, and your company's job data belongs to your company.
Who we are
SpliceFlow ("SpliceFlow," "we," "us") makes job management software for fiber splicing, available at spliceflow.app and through the SpliceFlow web app. SpliceFlow is operated from Massachusetts, USA. Questions about this policy can go to spliceflowcontracting@gmail.com.
This policy covers our website and the SpliceFlow app. It explains what we collect, why, who we share it with, and the choices you have.
Information we collect
When you use this website
- Information you submit through our forms. When you register your company, we store the company name, contact person, work email, phone number (optional), role, and any note you add, plus the page you submitted from and when. When you request access from the home page, we store your company, your name and your work email. When you subscribe to the newsletter, we store your email address, which form you used, and when you submitted it. We use this only to review your company for access, contact you about it, and send the newsletter or product updates if you asked for them.
- Contact messages. When you use the contact form, we store your name, work email, company (optional), your message and the page you sent it from, so we can reply. If you email spliceflowcontracting@gmail.com instead, we keep that email to reply to you.
- Your product-updates choice. The registration form has an optional “Also send me product updates” checkbox. It’s unchecked unless you tick it. If you tick it, we record that choice with your registration.
- Basic technical data. Our hosting provider automatically processes information like IP address, browser type and the pages requested, so the site can be delivered and protected from abuse.
This website doesn't use advertising cookies or social media pixels. We use Vercel Web Analytics to count page views and form submissions in aggregate; it doesn't use cookies and doesn't identify you personally.
When you use the SpliceFlow app
- Account information. Your name, email address, company and role, plus the credentials used to sign in.
- Job data. Everything your team enters or uploads: jobs, enclosures, splice records, photos, files and notes. Photos can include embedded details such as location, depending on your device's camera settings.
- Usage and device data. Logs of activity in the app, error reports, and device and browser information, used to keep the service running and secure.
How we use information
- To provide, maintain and support SpliceFlow, including generating reports and closeout packets you request.
- To respond to access requests and messages, and to send the newsletter to people who subscribed to it.
- Registering your company does not subscribe you to the newsletter. You’ll only get product updates if you tick “Also send me product updates” when you register, or subscribe to the newsletter yourself.
- To send service messages about your account, such as security notices or changes to these policies.
- To protect SpliceFlow, our users and the public from fraud, abuse and security threats.
- To understand how SpliceFlow is used so we can fix problems and improve it.
- To comply with the law.
We don't sell personal information, and we don't share it with anyone for their own advertising or marketing.
Your company's job data
Job data in the app belongs to the company whose account it was entered under. That company controls who on its team can access it. We process job data on the company's behalf to provide the service, and we don't use it for any other purpose. Data from one company is kept separate from every other company's.
Who we share information with
We use a small number of service providers to run SpliceFlow. They process information only to provide their services to us:
- Notion to store and manage company registrations, access requests and newsletter subscriptions.
- Supabase for our database, sign-in and file storage. If Notion is temporarily unavailable when you submit a form, a backup copy of your submission may be stored in our Supabase database so it isn’t lost.
- Vercel for hosting the website and app, aggregate website analytics (Vercel Web Analytics), and server logs.
- Google Fonts for delivering the typefaces on this website, which means your browser requests font files from Google.
- An email delivery provider, once the newsletter launches, to send it.
We may also disclose information if required by law, to protect the rights and safety of our users or others, or as part of a merger, acquisition or sale of the business, in which case this policy continues to apply to the information transferred.
How long we keep information
We keep account and job data for as long as the account is active, and for a reasonable period afterward so it can be exported or restored. Email addresses submitted through the website are kept until you ask us to remove them or unsubscribe. We may keep some records longer where the law requires it.
How we protect information
Information travels over encrypted connections. Access to the database is restricted by row-level security rules, company data is isolated, and access inside a company is controlled by role. No system is perfectly secure, but we work to protect your information and will notify affected users of a breach as required by law.
Your choices
- Unsubscribe from the newsletter or product updates at any time using the link in any issue, or by emailing us.
- Delete a form submission by emailing spliceflowcontracting@gmail.com from the address you submitted. We’ll remove it from our records, including Notion.
- Access, correct or delete your information by emailing spliceflowcontracting@gmail.com. If your account belongs to a company, some requests may need to go through your company's administrator.
- Export your company's job data by asking your administrator or contacting us.
Depending on where you live, you may have additional rights under local law. We'll honor requests as the law in your location requires.
Children
SpliceFlow is a business tool and isn't directed to children under 16. We don't knowingly collect their information. If you believe a child has given us information, contact us and we'll delete it.
Where information is stored
SpliceFlow is operated from the United States, and information is stored and processed in the United States.
Changes to this policy
If we change this policy, we'll update the effective date at the top. If a change is significant, we'll let account holders know by email or in the app before it takes effect.
